Archiving Solution

Introduction

Archiving saves the user from storage restrictions set to mail or file servers and makes data search more efficient.

The product is aimed at companies that store data for a long period of time and need to find certain information quickly.

Key Benefits:

  • Quick search;
  • Less backup space is used;
  • Less expenses on backup;
  • Less expenses on disk space;
  • Less time spent on system recovery.

A new trend in e-mailing is the archiving of old e-mails instead of settings mailbox restrictions. The service enables you to store old e-mails without using up storage space on your computer. This technological solution can also be used by companies for storing files.

Users can retrieve or delete e-mails in the archive, or send e-mails to the archive. The mailbox will store an icon of a few KBs in the mailbox, including specific information defined by the administrator.

Besides decreasing expenses, users save time with this easy-to-use solution that helps them store and find information quickly. E-mails are indexed in the archive according to e-mail body content and attachments. An additional search form allows full text search over the entire archive.
The above applies also to file archiving.

Past Projects

RIK (Centre of Registers and Information Systems) is an agency within the area of administration of the Ministry of Justice, the aim of which is to create an innovative environment of e-services for a more effective functioning of public administration, judicial and criminal policies. The Symantec Enterprise Vault cluster solution for archiving was installed in RIK in collaboration with RIK administrators. The procedure was supervised by Bruno Jänes on behalf of MicroLink. The product was configured to archive the mail server and file server. Also backup and analysis and monitoring engines were configured. The Project Manager of the Department of Infrastrucutres at RIK, Marko Voog:

Why did you decide to start using e-mail archiving?

Nobody likes restrictions on the mailbox size. Besides, the increased number of users has also increased the number of mailboxes. Already years ago there were suggestions to manage the sizes of live environments and use the ILM methods for cutting expenses. The best thing about archiving solutions is that they can be applied with those who need them the most. Also the price difference has been remarkable.

How did you choose the service and the service provider?

We conducted a quick analysis as to the extent of the service we would need, set the requirements and announced a public procurement, which was won by MicroLink.

What has changed since you started to use the solution?

There is less space taken up by the live environment. The sizes of Exchange Public Folders are better managed now. Data has been easily accessed by users. We haven’t applied the solution to file servers yet, but are planning to do so in the beginning of 2008.

Does the solution meet your expectations?

Yes, it is a sensible solution.

How would you comment on the services provided?

MicroLink has proved to be really flexible in providing the service. At first it seemed that MicroLink wouldn’t be able to provide the solution we needed, but the final result was successful.

Are you planning to co-operate with MicroLink also in the future?

I’m sure MicroLink will win more public procurements in the future, so we will continue to co-operate with MicroLink. We’re planning to extend the archiving solution already this year.
